Finance & Admin Executive

Position summary

This position is an exciting opportunity to take on a role within the Proforest Malaysia team to support the team in all its operational activities across the Southeast Asia Region. This is a permanent full-time position and the role of the Finance & Admin Executive is to support and work closely with the Office Manager to implement good financial management and accounting practices in line with Proforest’s global requirements and provide administrative support in ensuring that the Proforest SEA regional office has a productive working environment.

 

Responsibilities

Finance
Be responsible for the day to day transaction processing of the Sales, Purchase and Nominal Ledger and the Project module of SAGE 50 Accounting to ensure the completeness and accuracy of the accounting records, including the following:

 

  1. Ensuring accurate and timely customer invoicing and processing supplier invoices
  2. Entering Customer receipts and Supplier payments and performance of the Bank reconciliations for review
  3. Ensuring that SST codes are correctly input and workings for the returns are generated
  4. Reviewing the reconciliation of Debtor and Creditor Accounts (including prepayments and accruals)
  5. Reviewing staff timesheets and expense claims to ensure they are ready for processing
  6. Performing a variety of accounting reconciliations including petty cash and cash advances to staff

 

Be responsible for the generation of key management reports and the completion of the initial review to identify discrepancies for escalation, including the following tasks:

1. Generate monthly fixed costs report and perform an initial revie

2. Generate the monthly Income and Forecasting Report for projects 

a) add new projects including budget figures
b) download and incorporate actuals
c) reconcile to general ledger balances and identify differences

3. Complete monthly checklists and compile the management accounts file for review

 

The Finance & Admin Executive is expected to be able to identify and escalate reporting discrepancies or control issues by their initial review. The Proforest Malaysia Office Manager and the Proforest UK Finance Managers support them in resolving discrepancies and issues. Finance & Admin Executives have a primary responsibility for the completeness of the reports and contribute to their accuracy by their initial review.

 

Admin

  • Ensure that the Southeast Asia regional and other associated offices comply with relevant health and safety requirements
  • Ensure that the office is maintained in good order to provide a productive working environment
  • Manage general communication such as post, deliveries, couriers, etc.
  • Manage printing system (internal printing/photocopying jobs, supplies, maintenance)
  • Manage supply of stationery and other office supplies (cleaning products, small items, complimentary office food and drink, etc.)
  • Coordinate the travel arrangements for the office
  • Cover for the Office Manager in case of absence
  • Carry-out other tasks that can be reasonably expected from this role

 

Essential Qualifications, Experience, Skills:

  • Part Qualified ACCA or CIMA actively pursuing qualification
  • At least 2 years Finance experience, accounting and/or reporting 
  • Demonstrable Intermediate Excel skills
  • Good attention to detail 
  • Able to demonstrate initiative and flexibility
  • Motivated team player with good interpersonal skills and strong desire to support the team in meeting organizational objectives 
  • Good planning and organizational skills 
  • Good time-management skills 
  • Ability to resolve problem and queries quickly and efficiently
  • Good written and verbal communication skills in English and Bahasa Malaysia


Salary

Between MYR 3,500.00 to MYR 4,500.00
